Directory

The Directory is the place where you enter records about members, syndicates and other organisations. 

Each record in the Directory is assigned to an account that is called, in the context of Aerolog Cloud,  a ‘Flying account’.

There can be 4 types of Directory records:

Individual
Records that represent a person. This is the type for the vast majority of records in the Directory.

Syndicates 
Records that represent syndicates. 

Control
Records that are associated to an account created solely for control purposes. These accounts replace the figure of a person when an operation or flight is charged to an entity rather than to a person. Examples are: Voucher accounts, special flying schemes, charity flights, etc.

Other clubs or organisations 
Records that represent companies rather than individuals. 

The Directory has several sections, each containing information that are grouped according to their affinity.  These groups are organised in tabs.

Personal data
This tab contains information at personal level. 

Addresses
This is the tab that holds addresses for a member. Unlimited number of address can be entered.

Next of kin
Tab that contains information on next of kin. An unlimited number of records can be entered for each member.

Family members
This tab contains information about family members that are allowed into the club and to use its facilities. This information is usually associated to a membership type for family members.

Documents
This tab contains information about documents held by the member with their respective identification and expiry date. This section is very important as it provides information for the document currency routine.

Technical qualification
All information about the technical qualifications of a member is held on this tab. A record must be created for each certificate, endorsement or other qualification the member gets and which is relevant for the flying activities.

Direct debit
Bank information and other details about Direct Debit are kept in this group.

The Direct Debit functionality allows for three types of collections:

  • Full outstanding balance. The full outstanding balance of the flying account is collected (the most common option).
  • Fixed amount. A fixed amount is collected monthly regardless the balance of the flying account.
  • Full outstanding balance plus a fixed amount. In addition to the full outstanding balance, a fixed amount is also included in the total amount to be collected.

For any of the options above, the amount to be collected is subject to the limit imposed by the field Maximum collection amount. If there is no limit for the amount to be collected the field Maximum collection amount should be left blank.

Miscellaneous
Sundry information and indicators are kept in this tab. 

Flight currency
This tab contains a grid with all different aircraft flown by the member at the club, grouped by aircraft type/model, with total flight time on each, date last flown and number of days since last flight. At the end of each line, there is a link that opens a screen showing all flights for the selected aircraft type/model.
